The Real Cost of a Missed Payment (And How PayNow Fixes It)

A missed direct debit doesn’t stay a $200 problem for long. It turns into a reminder call, then a follow-up email, then a manual arrangement that slips and needs chasing all over again. A handful of families a month, and that’s a real chunk of someone’s week gone.

Direct debit is still the right foundation for gap fees. It’s automatic, predictable, and low-effort when it works. But it only has one setting: wait for the scheduled date. When a family’s circumstances don’t match that date, something has to fill the gap, and right now, that something is usually your staff.

PayNow fills it instead.

What PayNow actually does

PayNow is a self-service, real-time card payment families can make anytime through the Home app. No staff involvement, no manual processing. Once a payment is made in the app, the account balance is automatically updated, usually within two minutes. Funds settle to your service within two business days.

The difference that matters most: PayNow gives an immediate result. Direct debit can look successful and then bounce days later. PayNow tells the family (and you) straight away whether it’s worked, so there’s no false sense of a resolved balance.

Three situations your team will recognise

The bounced debit. A family’s Monday direct debit fails. They know funds land Wednesday. Without PayNow, that’s a manual re-debit or a wait for the next cycle, plus a reminder call in between. With it, the family pays themselves on Wednesday, no call needed.

The paused enrolment. A family pauses care but still owes a balance. Chasing payment from someone no longer attending is awkward and slow. PayNow gives them a way to settle up immediately, without a debit schedule to hang it on.

The one-off cost. An excursion fee lands outside the normal billing cycle. Instead of adding it to the next debit run or invoicing separately, the family pays it on the spot through Home.

None of these are edge cases. They’re the everyday reasons a “simple” payment process generates so much manual follow-up.

Why this shows up in cash flow, not just admin time

Every payment stuck between “missed” and “resolved” is money not in your account and a task on someone’s list. PayNow shortens that gap in three ways:

  • Faster recovery. Families act as soon as funds are available, not on the next scheduled date.
  • Less manual reconciliation. Payments match automatically; staff aren’t processing ad hoc debits by hand.
  • Better conversations. Instead of “your payment is overdue,” staff can say “here’s exactly how to fix it right now.”

Used well, PayNow doesn’t replace direct debit. It gives your service a second tool for the situations direct debit was never designed to handle.

One thing to weigh before 1 October 2026

From 1 October 2026, services can no longer pass card surcharges on to families. That may have some services asking whether card payments are still worth offering.

Worth knowing: transaction fees typically sit under 1% of gross billings, so the surcharge change is a small piece of the picture. The bigger question is what you’d lose alongside it. Turning off card payments also turns off PayNow, so it’s worth checking how often families use it, how much it’s recovering, and what would land back on your team’s plate if it disappeared.

Getting families to actually use it

PayNow only helps if families know it exists. A few places to build it in:

  • Mention it at enrolment, alongside your standard payment process.
  • Point to it specifically in your failed-payment follow-up: “you can pay through Home as soon as funds are available.”
  • Keep instructions dead simple: open Home, select Finance, choose Pay Now, enter the amount.    

The bottom line

Direct debit and PayNow aren’t competing options, they’re doing different jobs. One gives you predictable, scheduled income. The other gives families a way to make payment the moment they can and gives your team fewer finance conversations to have accounts to chase.
